A work order is more than a piece of paper — it's the master record for every job that enters your shop. It tracks authorization, labor, parts, technician notes, and status. Without a reliable work order system, you're running on memory and hoping for the best.

What a Work Order Should Capture

A complete work order includes the customer and vehicle information, presented symptoms and customer description, diagnostic findings, authorized repair operations, assigned technician and bay, parts used with quantities and costs, labor hours and rate, internal notes and photos, and current status.

The Work Order Lifecycle

Every job in a well-managed shop moves through defined stages:

  • Estimate: Initial assessment and written estimate before authorization
  • Pending: Authorized but not yet started — waiting for parts or bay availability
  • In Progress: Technician is actively working on the vehicle
  • Awaiting Parts: Work paused while parts are sourced or ordered
  • Complete: Work finished, quality check done
  • Invoiced: Invoice generated and sent to customer

Job Numbering

Assign sequential job numbers — for example, RO-2024-0147. A consistent numbering system makes it easy to reference jobs in conversation, pull up history, and track your car count over time.
